This policy explains how reservations, cancellations, refunds, schedule changes, and nonprofit partner participation are managed for Donor Tours experiences. Donor Tours experiences are planned in advance with nonprofit organizations, transportation providers, hospitality partners, venues, volunteers, sponsors, and community stakeholders.
Because each reservation secures participation capacity within a specific experience, cancellation deadlines are aligned with the planning required to coordinate transportation, hospitality, staffing, vendor commitments, nonprofit partner participation, and operational logistics.
The following policy applies to all reservations.
How Deadlines Work
Donor Tours experiences are managed using OneCity’s End-of-Day Standard.
Unless otherwise specified, all cancellation deadlines, experience confirmations, participation requirements, and operational decisions are measured using the following operating window:
- Time Zone: America/Los_Angeles
- Start of Day: 6:00 AM
- End of Day: 5:00 PM
A deadline is satisfied only when the required action is completed by End of Day (5:00 PM) on the applicable date.
Actions completed after End of Day are considered received on the next operating day.
Because each reservation secures participation capacity within a specific experience, cancellation deadlines are aligned with the operational planning required to coordinate nonprofit partners, transportation providers, hospitality services, staffing, vendors, and community stakeholders.
If You Cancel
More than 30 days before the experience
- Receive a 100% refund of amounts paid directly to Donor Tours.
- Ticketing and payment processing fees are subject to the policies of the applicable ticketing platform.
- At this stage, participation capacity can typically be reassigned and major operational commitments have not yet been finalized.
15–29 days before the experience
- Receive a 75% refund of amounts paid directly to Donor Tours.
- Ticketing and payment processing fees are subject to the policies of the applicable ticketing platform.
- At this stage, transportation planning, nonprofit coordination, staffing, and participation capacity have already been reserved.
- The remaining balance helps offset commitments made on behalf of the experience.
14 days or less before the experience
- Reservations become final and non-refundable
- At this stage, transportation, hospitality, staffing, vendor commitments, nonprofit coordination, and operational planning have been finalized.
- Unused reservations and no-shows are non-refundable.
- Reservations are associated with a specific experience and may not be transferred to another experience.
- Reservations may not be resold, reassigned, or transferred without prior written approval from Donor Tours.
If Donor Tours Cancels
- Experiences are offered on a pre-sale basis and must reach minimum participation requirements before being confirmed.
- If Donor Tours cancels an experience for any reason, participants will receive a 100% refund of all amounts paid directly to Donor Tours.
- Ticketing and payment processing fees are subject to the refund policies of the applicable ticketing platform.
- Certain experiences may include accommodations, transportation packages, meals, hospitality services, or other third-party reservations.
- Any applicable terms will be disclosed during registration before purchase.
- Donor Tours’ liability arising from an experience is limited to amounts paid directly to Donor Tours for that experience.
If An Experience Changes
- Occasionally weather conditions, safety considerations, nonprofit needs, venue availability, transportation logistics, or other operational requirements may require adjustments to an experience.
- When practical, participants will be notified in advance of any material changes.
- Reasonable schedule adjustments, venue changes, transportation changes, or hospitality modifications do not automatically qualify for a refund if the experience continues to operate substantially as advertised.
Accommodations & Hospitality
- Some experiences may include accommodations, transportation packages, meals, hospitality services, or similar experience components.
- Additional cancellation terms may apply to these services and will be disclosed during registration before purchase.
- Certain accommodations, transportation services, hospitality venues, or third-party providers may maintain separate terms and conditions.
If A Nonprofit Partner Withdraws
- Occasionally a nonprofit organization may become unable to participate due to operational needs, emergency circumstances, staffing limitations, facility access restrictions, safety considerations, or other unforeseen conditions.
- If a nonprofit partner withdraws before an experience occurs, Donor Tours may reschedule the experience, substitute a comparable nonprofit partner, or cancel the experience.
- If an experience cannot reasonably proceed, participants will receive a full refund of amounts paid directly to Donor Tours in accordance with this policy.
- Participants will be notified as soon as reasonably practicable of any material changes.
Direct Giving Promise
- 100% of charitable donations are made directly to participating nonprofit organizations through their official donation platforms.
- Donor Tours generates revenue through experiences, memberships, sponsorships, hospitality services, merchandise, storytelling services, and participation programs.
